Position Summary

Our San Francisco headquarters is in need of an exceptional sales operations professional with a great attitude to join M Squared. Working within the Corporate Accounts business unit, this position requires a strong sense of urgency, the ability to execute sound judgment, daily use of initiative, as well as a commitment to excellence. Problem solving skills are critical to the success of this role.

 

The group is dynamic and high energy, and focuses on Financial Services, Healthcare/Biotech, Technology and Consumer Products clients.  The coordinator will play a key support role helping our client teams serve consultants and clients.  Success in this role is defined by the ability to provide exceptional sales support and customer service to our consultants, our clients, and to our internal team. 

 

A successful Sales Operations Coordinator will be able to:

  • Provide a base of support for a largely remote sales team, and be a steady force in a rapidly changing environment.
  • Work efficiently and effectively, with a continued eye on quality, to ensure that consultant and client’s needs are met.
  • Complete time-sensitive tasks while managing and attending to frequent critical interruptions.
  • Combine a sense of urgency with patience and diplomacy, and work well with various strong personalities. 

The Role and Responsibilities

Support the Corporate Accounts sales team in the full life cycle of client engagements, from business development to engagement management. Provide support to consultants to drive loyalty and satisfaction. The Essential Duties and Responsibilities of this job include the following. Other regular duties will emerge, as will occasional special projects.

 

  • Provide consistent high levels of customer service and sales operations support for the team.
  • Proactively develop sales presentations with Business Development Managers.
  • Support sales team and consultant managers with all aspects of the project life cycle.
  • Manage consultant on-boarding process.
  • Track and monitor consultant status reporting.
  • Serve as a point of contact for consultants with current project related questions or concerns.
  • Maintain consistent communication via e-mail, telephone, and face-to-face interaction.
  • Plan and coordinate special events including client and consultant events, department meetings, etc.
  • Review journals and periodicals regularly to identify prospect leads and client-targeted articles. Create and maintain library of client-targeted articles
  • Transfer data from various sources to Salesforce.com

Desired background:

  • Undergraduate degree in business-related field, or significant directly related career experience.
  • 1-3 years in professional services environment Is a significant plus
  • Strong proficiency in using technology, including the ability to query databases, MS Office (including advanced Word, Excel and PowerPoint skills)
  • Experience managing direct mail and online marketing campaigns
  • Strong proficiency in Salesforce.com or other CRM tool
  • Exceptional organizational and time management skills, ability to multi-task.
  • Strong sense of urgency including the ability to meet or exceed deadlines, set priorities.
  • Ability to work flexible hours, as needed.
  • Ability to take initiative and work independently.
  • Great sense of humor, out-going, motivated, driven to succeed.
  • Some corporate marketing background or a marketing orientation would be a plus.

Reporting Relationship

This position reports to the Business Unit Leader, but interacts daily with the business development and consultant services managers. This role interfaces with all team members and is highly reliant on superior communications and smart decisions.

Position Summary

The Collabrus Sales & Marketing Coordinator will provide sales, marketing and operations support to enable a higher quality and quantity of Collabrus sales activity and responsive consultant service. This non-exempt position will report to the General Manager of Collabrus and will be an integral member of the Collabrus team.

 

This fulltime position is based in San Francisco and will start July 15:

 

Essential Duties and Responsibilities

Marketing Support Activities and Program Coordination - Act as the liason between the Collabrus Business Development group and the Marketing manager to develop plans and coordinate implementation responsibilities and timelines for all Collabrus marketing programs. Activities include:

  • Website Refresh and updates
  • Blog posting
  • Marketing Campaigns (email and flyers)
  • Create and maintain Collateral library  
  • Compliance Tool kit
  • Events, Workshops & Seminars

Sales Support Activities - Coordinate Collabrus sales call support, activity tracking, and reporting:

  • Maintain Sales activity calendar
  • Coordinate client calls and call preparation
  • Monitor Sales Process and Pipeline
  • Design and create:
    • Sales Proposals
    • Sales Presentations (PowerPoint)
    •  Semi Annual Client Reviews
    • Client process (workflow) maps
    • Client and Consultant newsletters & other communications
  • Maintain Targeted Account List(s) – Keep current & track activity
  • Conduct Targeted Account Research / Account profiling
  • Act as the Collabrus Salesforce.com representation – Monitor salesforce.com reported activity levels and accuracy of Sales Activity Reporting

Operations Support Activities:

  • Coordinate the Collabrus Client / Consultant Satisfaction (CSI) Program
  •  Design and Create Consultant / Contractor collaterals & communication programs
  • Support Annual Benefits “Open Enrollment” for Collabrus consultants (Event scheduling & packets)
  • Provide Back-up for consultant and employee inquiries
  • Coordinate Systems maintenance (HRIS, Payroll systems, Filing systems)
  • Other weekly activities include:
    • Office Supplies & Printing & Office equipment
    • HR filing
    • Team Calendar & team meeting coordination
    • Receptionist/phone coverage (lunchtime:  2 hours/weekly)
    • Special projects (i.e. team facility move in September)

Job Requirements

·         Ability and aptitude to multi-task and drive to meet timelines and achieve results

·         Ability to work quickly with a high sense of urgency and commitment to internal and external customer satisfaction, delivering results “yesterday”

·         Strong attention to detail and process orientation; accurate work product

·         Good listener, team player and collaborator

·         Ability to manage multiple competing priorities and to frequently re-prioritize

·         Proven experience in support and/or HR Rep roles

·         Solutions oriented; resourceful in finding the answers

·         Exceptional communication skills, both written and verbal

·         Experience in a multi faceted support role would be plus

·         Expert PC and technical skills: Microsoft Office: Word, Excel, PowerPoint required.  Visio is desirable 

·         BA/BS in Business, or related field

·         Minimum of 2 years of experience in sales, marketing or human resources support position with customer service orientation and record of progressive accomplishment.
